Your Details, Treated with Care
Privacy Policy.
Who Looks After Your Information
Nitara Duthie operates ROAMOIR as a sole trader and is responsible for personal information handled through roamoirtravel.com. Nitara is your privacy contact at nitara@roamoirtravel.com.
What You Share
An enquiry may include your name, email, destination, travel dates and preferences, message, campaign goals, budget range and timeline. Name and email are required to submit an enquiry; other fields are optional. Without contact details we cannot reply through the form, but you can email Nitara instead. Please do not send payment-card details, passport copies, health records or other sensitive information through the forms or AI tool.
Why We Use It
We use enquiry details to answer you, discuss a potential trip or collaboration, and keep private notes about that conversation. Where UK data-protection law applies, the basis is taking steps at your request before a contract with you, or our legitimate interest in answering enquiries and managing business relationships, including messages from people representing organisations. Security and reliability processing supports our legitimate interest in operating a safe website. Where Canadian law requires consent, we explain the use when collecting information; you can contact Nitara about your choices or withdrawal. An enquiry is not a subscription to marketing emails.
Private Storage and Email Alerts
Enquiries are stored in Lovable Cloud. Dashboard access is restricted to the authorised site owner. When an enquiry is saved, the website attempts to send an alert containing enquiry details through Lovable's email service to nitara@roamoirtravel.com, hosted by Zoho. This creates additional copies in email delivery and mailbox systems. Providers process information to operate these services; enquiry information is not sold or displayed to other site visitors.
The Travel Vibe Generator
If you choose to generate a travel idea, your selected cues and description are sent to Lovable AI and its model provider to produce the concept. This is optional: you can enquire without generating an idea. Please describe a feeling, not personal or sensitive details. Generating an idea does not submit an enquiry or save it to the dashboard. If you choose to prefill the contact form, the generated subject and message appear in the contact-page URL and may enter browser history and service logs. The idea only becomes an enquiry when you submit the form.
AI-Assisted Replies and Itineraries
Nitara may use Lovable AI and its model provider to prepare reply or itinerary drafts using relevant enquiry details, private notes and her instructions. The tools return drafts for Nitara to review; they do not automatically save or send them. AI is not used to make decisions producing legal or similarly significant effects about you. You can ask Nitara by email or in your message to handle your enquiry without AI assistance. Provider processing and logging are separate from storage in the ROAMOIR dashboard; we do not promise zero provider retention or that all processing stays in your country.
Travel Advice Through Fora
The booking buttons and QR code take you directly to Fora's externally hosted intake form. Information you submit there is collected through Fora, not saved automatically to the ROAMOIR dashboard. Fora's privacy notice applies to that form. Messages sent to nitara.duthie@fora.travel are handled through Fora's email service. If Nitara needs to transfer relevant ROAMOIR enquiry information to Fora or a travel provider to progress your request, she will discuss that with you first; their privacy notices and booking terms also apply.
How Long Information Is Kept
Retention depends on whether an enquiry is active, becomes client work, or is needed to meet legal, accounting or dispute-related obligations. These criteria also apply to private notes and enquiry emails. There is currently no automatic deletion schedule in the dashboard. You may ask Nitara to delete information that is no longer needed; some information may need to be retained to meet legal duties. Service logs and backups can have separate provider retention periods.
Your Choices and Rights
Depending on the law that applies, you may request access, correction, deletion or restriction, object to certain processing, or request a portable copy. Where processing depends on consent, you may withdraw it without affecting earlier lawful processing; this may prevent us providing the service that needs that information. Email nitara@roamoirtravel.com. Nitara may need proportionate information to verify your identity and will explain any lawful limits on a request. Privacy complaints can also be sent to this address.
Website Storage and Service Providers
The website uses session storage to restore your position when navigating between pages and local storage for authenticated owner sign-in. Google Fonts receives technical information, such as IP address and browser details, when delivering fonts. Hosting, security, error-reporting and AI providers may process request details, URLs and diagnostic logs. Lovable Cloud, Lovable email, Lovable AI and its model provider, Zoho, Google Fonts, and Fora when you use its services are relevant recipient or service-provider categories.
Processing Across Borders
Service providers may process information outside the UK or Canada, and it may be subject to the laws of those countries. Applicable law can require adequate protection, contractual safeguards or other transfer arrangements. You can ask Nitara about the providers and safeguards applicable to your information. Provider locations, contracts and transfer safeguards require ongoing review; this notice does not certify a particular hosting region or transfer mechanism.
Changes
This notice was updated on 28 October 2026. We will update it if the way we handle personal information changes.
Raising a Privacy Concern
Please contact Nitara first if you would like help with a privacy concern. You can also complain to the UK Information Commissioner's Office, the Office of the Privacy Commissioner of Canada, or the appropriate provincial authority, depending on which law applies. See our Cookie Notice for browser-storage information.
